Job Description

ZIPAM is looking for two dedicated and detail-oriented Stores Clerks to join the company’s dynamic team. As a Stores Clerk, you will be responsible for efficiently managing inventory, coordinating stock movements, and ensuring the smooth operation of the organization’s stores department.

This role offers an opportunity to contribute to the effective functioning of ZIPAM and support its mission of promoting excellence in public administration and management.

Duties and Responsibilities:

  • Schedule and organize incoming inventory deliveries in a timely manner.
  • Receive and accurately record all delivered inventories, ensuring proper documentation.
  • Issue stocks based on requisitions from user departments, maintaining accurate records.
  • Conduct periodic stock checks and reconciliations to ensure inventory accuracy.
  • Generate reports on stock movements and communicate effectively with the procurement department regarding deliveries.
  • Maintain optimal stock levels, ensuring availability of necessary items.
  • Input received materials into the system and forward relevant documentation to the accounts office.
  • Vet all stores requisitions before issuing items, adhering to established procedures.
  • Account for all consumables by monitoring receipts, issues, and returns.
  • Safeguard the stores inventory and ensure proper storage and organization.
  • Assist with periodic stock takes and reconcile any discrepancies.
  • Perform any other duties as assigned by the Accountant to support the smooth operation of the stores department.

Qualifications and Experience:

  • Possess at least 5 O Levels, including Mathematics and English.
  • Hold a Higher National Diploma in Purchasing and Supply Chain, Purchasing and Logistics, or Accounting.
  • A Degree in Purchasing and Supply Chain, Purchasing and Logistics, or Accounting would be an added advantage.
  • Have a minimum of one year of relevant experience in stores or inventory management.
  • Familiarity with the Pastel package is advantageous.
  • Demonstrate strong attention to detail and accuracy in handling inventory.
  • Exhibit excellent organizational and time management skills.
  • Have the ability to work effectively in a team and collaborate with various departments.
  • Possess excellent communication and coordination skills.
  • Show proficiency in using computer systems and software for inventory management.
