Job Description

Our client, a reputable company based in Masvingo, Zimbabwe, is currently seeking a qualified Receptionist to join their team. The Receptionist will be responsible for managing the reception area, attending to visitors, and ensuring smooth communication within the organization.

Duties and Responsibilities:

  • Greet and welcome visitors in a professional manner, ensuring a positive first impression of the company.
  • Manage incoming calls and direct them to the appropriate departments or individuals.
  • Provide accurate information about the company and its services to visitors and callers.
  • Maintain the reception area, ensuring it is clean, organized, and presentable at all times.
  • Receive and distribute incoming mail, packages, and deliveries to the appropriate recipients.
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Assist in making travel arrangements and accommodations for staff members, as required.
  • Maintain office supplies inventory and place orders when necessary.
  • Assist in the coordination of office events, such as meetings, training sessions, and conferences.
  • Perform basic administrative tasks, including data entry, filing, and photocopying documents.
  • Ensure compliance with company policies and procedures, maintaining confidentiality and data security.

Qualifications and Experience:

  • Possess at least 5 Ordinary Level passes.
  • Hold a certificate or diploma in Secretarial Studies or Administration.
  • Have a minimum of 1 year of experience in a similar receptionist or administrative role.
  • Excellent communication and interpersonal skills to interact with visitors and staff at all levels.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Proficient in using computer software and systems related to the role.
  • Attention to detail and accuracy in handling information and documentation.
  • Ability to maintain a professional and courteous demeanour in all interactions.
  • Knowledge of telephone systems and office equipment.
