Job Description

Family Aids Caring Trust (FACT) is a Christian national development NGO based in Zimbabwe. FACT implements sustainable development initiatives to improve people’s livelihood, Sexual Reproductive Health (SRH), HIV Prevention, HIV and AIDS care and support, as well as health activities.

FACT is Sub-Recipient to the Global Fund implementing Resilient Sustainable Systems for Health (RSSH): Community Systems Strengthening Module.

FACT is seeking a Procurement and Logistics Assistant to join their dynamic team in Harare. This role involves assisting in sourcing and ensuring the supply of optimal and cost-effective goods and services, evaluating supply options, and maintaining accurate records.

The Procurement and Logistics Assistant will work closely with the Procurement team at the Head Office, participating in day-to-day activities. Remuneration details will be shared during the application process.

Duties and Responsibilities:

  • Responsible for procurement according to the Procurement Plan, FACT Zimbabwe, and UNDP procurement guidelines.
  • Ensure the procurement process is complete and well documented.
  • Manage stocks and document goods received and issued.
  • Prepare and process requisition and purchase orders.
  • Research marketing information on different supplies and maintain an accurate and up-to-date supplier database for supplies.
  • Check inventory frequently.
  • Ensure the purchased goods in transit are directed to the sites on time.
  • Handle warehousing tasks.
  • Provide logistical support to the Harare office.
  • Facilitate vehicle service and maintenance.
  • Ensure logbooks are completed on time and reviewed and approved.
  • Complete fuel ledgers and reconcile fuel and tollgate transactions.
  • Conduct bi-annual asset verifications.
  • Compile bi-annual Asset Management Reports and Registers.
  • Ensure all project assets have an up-to-date asset register.
  • Manage all insurance policies, claims, and issues related to FACT Zimbabwe and Global Fund.
  • Oversee vehicle tracking and ensure adherence to policies and procedures.

Qualifications and Experience:

  • BCom Honours Degree in Supply Chain Management, Purchasing and Supply, or a related field. A CIPS/CILT qualification is a definite advantage.
  • Minimum of 2 years of experience in a similar role.
  • Demonstrable computer skills and experience using Pastel.
  • Basic accounting knowledge.
  • Exquisite knowledge of USAID, Global Fund, and UNDP procurement and asset management procedures is an asset.
  • Ability to interpret and work in accordance with laid-down procedures.
  • Excellent communication and facilitation skills.
  • Must possess a clean class 4 driver’s license.
