Job Description

CeSHHAR Zimbabwe is an organization specializing in Sexual Reproductive Health (SRH), HIV, and AIDS research in Zimbabwe. CeSHHAR Zimbabwe, in collaboration with the Ministry of Health and Child Care (MOHCC) and the National AIDS Council (NAC), implements a National Sex Work Programme aimed at reducing HIV acquisition and transmission among female, male, and transgender sex workers, as well as their clients.

The organization focuses on increasing awareness and access to STI and HIV prevention, testing, and treatment services for these key populations, with a commitment to reducing transmission of STI and HIV infections.

CeSHHAR Zimbabwe is looking for two Finance Officers to join their dynamic team in Harare. As a Finance Officer, you will be responsible for effectively capturing accounting information, ensuring the safekeeping of accounting documents, and processing all financial transactions for the organization.

Your role will involve ledger reconciliation, donor reporting, bank reconciliations, payment processing, and adherence to financial policies and regulations. This is an exciting opportunity to contribute to the financial management of an organization dedicated to reproductive health and HIV research.

Duties and Responsibilities:

  • Accurately capture all data required for processing financial transactions into the SAGE PATEL Evolution financial accounting package.
  • Enter transactions into SAGE PATEL Evolution in a timely manner.
  • Code and record payment vouchers to the correct project, cost category, and amount.
  • Monitor balances in Account Receivables and Payables, preparing reports on exceptions and outstanding items.
  • Review and follow up on project-related travel requests and liquidations in line with the travel policy.
  • Ensure outstanding acquittals by staff are resolved and submit the listing for review and payroll deduction.
  • Follow up on outstanding invoices from the Procurement department to clear Accounts Payables.
  • Prepare monthly bank reconciliations for review and approval.
  • Remit statutory deductions, such as Withholding Tax (WHT), NEC, NSSA, and PAYE, to relevant authorities.
  • Remit other deductions, such as Medical Insurance and Funeral cover, to relevant stakeholders.
  • Prepare monthly project financial reports, resolve queries, and upload reports on SharePoint.
  • Verify payments and ensure proper supporting documentation is attached.
  • Maintain orderly and sequential filing of financial documents.
  • Ensure expenditures from subrecipients comply with applicable rules and regulations.
  • Perform balance sheet reconciliations and asset verification in compliance with financial policies.
  • Provide operational oversight on cash/bank transactions in the finance unit.
  • Prepare monthly VAT refund claims reports and submit for review.
  • Prepare month-end journals for salaries, accruals, and prepayments.
  • Manage petty cash through the imprest system.
  • Conduct periodic physical asset verification and inventory counts.
  • Process payments on the Stanbic Business On-Line banking platform.

Qualifications and Experience:

  • Bachelor’s degree in Accounting and studying towards a professional qualification.
  • At least 3 years of experience in a similar role, preferably in an NGO organization.
  • Membership with an Accounting professional body is an added advantage.
  • Sound knowledge of accounting concepts, financial reporting standards, and donor rules and regulations.
  • Proficient in Microsoft Excel and experience in donor report preparation.
  • Strong interpersonal communication, planning, and problem-solving skills.
