AFC Holdings is looking for a highly skilled and motivated Executive Secretary to join the company’s dynamic Human Resources team. The successful candidate will play a crucial role in providing comprehensive support to the Group Head of Human Resources and ensuring the smooth operations of the division.

Duties and Responsibilities:

  • Coordinate and oversee the administrative activities of the Human Resources Division in close collaboration with the Group Head of Human Resources.
  • Manage the day-to-day operational and administrative tasks of the Group Head of Human Resources’ office, including organizing incoming work, prioritizing requests, and maintaining the agenda and calendar.
  • Plan and organize meetings for the HR Division’s staff and management, which includes preparing materials, inviting participants, and ensuring smooth logistics.
  • Support the HR Division in information management, including the maintenance of physical and electronic employee records.
  • Prepare and submit purchase requisitions for the division, and follow up with relevant departments as necessary.
  • Assist in the preparation of reports, presentations, and other relevant documentation.
  • Conduct research and gather data to support decision-making processes within the HR Division.
  • Handle confidential and sensitive information with utmost discretion and maintain a high level of confidentiality at all times.
  • Ensure effective communication and collaboration among team members and various stakeholders.
  • Stay updated with industry trends and best practices in executive secretarial functions and HR administration.

Qualifications and Experience:

  • A Full Secretarial Diploma or any other Business Administration Diploma/Degree.
  • 3 to 5 years of working experience, preferably in a Human Resources environment.
  • Excellent organizational and prioritization skills.
  • Proven ability to handle a high volume of tasks with minimal guidance.
  • Demonstrated track record in managing confidentiality, exhibiting personal ethics, and maintaining integrity.
  • Intermediate to advanced proficiency in MS Word, Outlook, Excel, and PowerPoint.
