Job Description

The Avenues Clinic is a Grade A multidisciplinary hospital based in Harare, Zimbabwe. Established in 1983, it is the flagship facility for the MIL group.

The hospital offers a wide range of specialist services, outstanding nursing care, and a patient-centric approach. With a total of 176 beds, The Avenues Clinic operates as a one-stop medical hub, providing comprehensive healthcare services. It is located at Corner Baines and Josiah Chinamano Avenue in Harare.

The Avenues Clinic is looking for a meticulous and detail-oriented Billing Officer to join the company’s dynamic team. As a Billing Officer, you will be responsible for processing, evaluating, and reconciling accurate patient bills. Additionally, you will play a crucial role in assisting with the management of ward stocks. This position offers competitive remuneration, including allowances and incentives.

Duties and Responsibilities:

  • Update inpatient files on a daily basis by capturing all tariffs, including invoices.
  • Evaluate, reconcile, and capture invoices from external service providers onto patient bills.
  • Review theatre charge sheets billed in theatre and appropriately bill the patient.
  • Calculate and reconcile pharmacy drugs and sundries administered to patients using drug administration charts and ordering sheets.
  • Receive patient files from ward secretaries for processing discharges. Review, reconcile, and capture the final patient bill upon discharge.
  • Inform credit control upon completion of the patient bill.
  • Submit discharged patient files to the Case Manager for final checking.
  • Conduct daily stock takes in allocated areas of ward stock and departmental stock takes.
  • Follow up on items not charged with the nursing team.
  • Charge dangerous drugs and ward stocks.
  • Check for stocks nearing expiry and report to the pharmacy.
  • Order ward stocks in the hospital management system.
  • Fill in discharge and inpatient trackers on an Excel sheet daily.
  • Document breakages, excess, and expired stocks, and submit them to the pharmacy.
  • Document times of discharge and file receipts on all patient files. Document and verify biometric registration of funded patients.

Qualifications and Experience:

  • Diploma or higher in Nursing, Accounting, Finance, or Pharmaceutical Technology (preferred).
  • Minimum of 2 years’ experience in the billing field.
  • Five Ordinary Level subjects including English, Mathematics, and Science.
  • Proficient computer skills.
  • Excellent communication and listening skills.
  • Ability to work under pressure.
  • Excellent organizational and prioritization skills, attention to detail, and problem-solving skills.
  • Must be mature, pleasant, courteous, cooperative, and an enthusiastic team player with good communication skills.
  • Must be flexible in working hours, including weekends and after-hours availability.
