Zimbabwe Health Interventions (ZHI) is a not-for-profit human development organization registered as a Private Voluntary Organization (PVO) in Zimbabwe. ZHI’s mission is to develop and deliver innovative and sustainable high-impact, integrated health interventions to the communities we serve, while working with and strengthening existing institutions.

Zimbabwe Health Interventions (ZHI) is looking for a dynamic Administration Graduate Intern to join the organisation’s team. As an Administration Graduate Intern, you will undergo a one-year structured internship program under the supervision of the Program Officer.

This role will involve managing the front office desk, providing administrative support, scheduling meetings, and assisting with organizational tasks. This is an excellent opportunity for a motivated individual to gain practical experience in a not-for-profit organization dedicated to improving community health.

Duties and Responsibilities:

  • Manage the front office desk and serve as the first point of contact for guests, vendors, and employees.
  • Operate the switchboard, answer incoming phone calls, and direct callers to the appropriate party.
  • Process, sort, and route incoming and outgoing mails/parcels in a timely manner.
  • Coordinate and schedule appointments, meetings, and conferences.
  • Perform various administrative support tasks, including updating and sorting files, drafting and proofreading correspondence, and photocopying documents.
  • Ensure the office is clean and organized, including kitchen, conference rooms, storage rooms/closets, and communal areas.
  • Take minutes during weekly meetings, all-staff meetings, and adhoc meetings, and track action points.
  • Assist in the preparation of meetings and manage board room bookings.
  • Support travel arrangements and organize events.
  • Stand in for the Program Officer when unavailable, working with the Executive Director and Senior Management Team.
  • Support running various routine errands for the organization/programs.

Qualifications and Experience:

  • Diploma in front office management, customer relations, secretarial studies, or a related field.
  • At least one year of work-related learning experience.
  • Excellent interpersonal, written, and communication skills.
  • Knowledge of standard office procedures and practices.
  • Strong attention to detail.
  • Ability to work in a fast-paced environment with strict timelines and minimal supervision.
  • Exceptional organizational and customer relations skills.
  • Ability to work across cultures and build effective relationships with internal and external stakeholders.
  • Proficiency in computer software applications, particularly Microsoft Word, PowerPoint, and Excel.
